A RESOLUTION AUTHORIZING THE CITY MANAGER TO EXECUTE AMENDMENTS TO LEASES FOR SPACE AT 1769 AND 1566 GEORGETOWN ROAD FOR USE BY THE CITY PUBLIC WORKS DEPARTMENT THROUGH AUGUST 31, 2027; AND DECLARING AN EMERGENCY.

Brief Description:   The City currently leases space at 1769 and 1566 Georgetown Road, Hudson, Ohio, for use as administrative offices and operational space for the Public Works Department.   While the City completes construction of its new Public Works facility, it is necessary to extend the leases on these spaces to ensure that the City maintains the minimal office and operational space required to carry out the responsibilities and services of the Public Works Department.

Body

Legislative History

Resolution No. 15-156, passed October 20, 2015.

Resolution No. 18-178, passed December 18, 2018.

Resolution No. 22-160, passed December 6, 2022.

Purpose & Explanation

The City currently leases space a 1769 and 1566 Georgetown Road for the Public Works Department, whose responsibilities include streets, storm water, pipe maintenance and inspection, water distribution, administrative support, fleet maintenance, and the sign shop.

The City has maintained its leased space with three separate leases, as it is more efficient to divide and track the lease costs per budget area.  The total square footage of leased space is approximately 36,000 sq. ft., which will remain unchanged.

Timing Considerations

While the current lease terms expire on January 1, 2027, staff is requesting emergency language because the notice of termination clauses state that at least 12 months advance notice is required in order to terminate the leases.

Fiscal Impact

Recommendation

Suggested Action

Staff recommends that City Council approve this legislation authorizing the City Manager to enter into lease amendments with Zambrouck Development Co., PO Box 2262 Hudson, OH 44236,                     commencing on January 1, 2026, and expiring on August 31, 2027 with the ability to extend if necessary, as determined by the City Manager.
