Purpose & Explanation

City Staff started using technology to monitor department fleet operations in 2008. Over the years this technology has needed replaced due to the changing technology and cellular services available on the market. In December of 2022 the cellular market will sunset its 3G network leaving our current monitoring solution inoperable. In preparation of the impending changes to the cellular network City Staff started researching options on the market along with looking at the current vendor’s replacement solution. During this research process, Staff found a product that met the departments needs along with providing enhanced services and features at a reduced cost.

City Information Technology and Public Works staff has reviewed three (3) fleet monitoring software solution packages for potential use in several departments of the City.  The recommendation for a new system is Samsara Inc., which offers a much more user-friendly interface and management/reporting flexibility, as well as the integration of more areas of operation, at a competitive price. Pricing for this service is structured in a 39-month contract to allow for the installation of the equipment and use of the service in the fourth quarter of 2022 along with securing service pricing for an additional three years. Pricing comparison for this service is as follows:

Suggested Action

Staff recommends that City Council approve this Resolution authorizing the City Manager to enter into a contract with Samsara Inc 1 De Haro St, San Francisco, CA, 94107 for purpose of utilizing Fleet Monitoring Equipment and Services in the amount of $66,112.80 over the life of the contract.
