Purpose & Explanation

As per the 2013 approved fleet capital budget, replacement cab and chassis will be purchased from Valley Freightliner Trucks of Cleveland.  The purchases are based on a meet or beat quote off ODOT purchasing contract number 023-13.  Valley Freightliner has submitted lower pricing than the ODOT contract price on both units including all cab and chassis options and components.   The units being replaced (Trucks #7747, 7751) will remain in the fleet and be utilized as backup units for snow plowing operations.

Each replacement unit will require the installation of snow plow and dump bed equipment which will be provided and installed by Henderson Truck-Ohio as a meet or beat quote off     State contract STS-515 currently held by Concord Road Equipment. Henderson Truck-Ohio has submitted a lower price for associated snow plow truck equipment than Concord Road Equipment under STS State contract STS-515 (See pricing attachment).

Budget impact summary:

Total budgeted $320,000 ($160,000/vehicle).

Proposed Total Expensed: $295,687.00 

Timing Considerations

Staff would request emergency legislation to expedite the ordering of both trucks and associated equipment.

Suggested Action

Staff recommends City Council authorize the City Manager to enter into a purchase agreement with Valley Freightliner Trucks of Cleveland 4985 W. 150th St. Brookpark, Ohio 44135 in the amount of $162,471  for the purchase of two (2) 2014 Freightliner 108SD Cab & Chassis. 

Staff further recommends City Council authorize the City Manager to enter into a purchase agreement with Henderson Truck Equipment – Ohio 2177 State Route 19, Bucyrus, OH 44820 in the amount of $133,216 for the purchase and installation of snow removal equipment to be installed on both replacement cab & chassis.
