Purpose & Explanation

The Eastside Substation Transformer Replacement project began in Q2 2021, with GPD handling the design work and key components procured in Q4 2021. Delivery estimates for major components were originally set for Q3 2022 but were delayed due to unforeseen issues with material supplies, design adjustments, ordering, and shop submittals.

Through the bidding process, we secured a contractor to install equipment and materials as they became available. During the final installation phase, it was discovered that the bus duct components were obsolete and could not be retrofitted to integrate with the new gear. Consequently, a new section of bus duct must be manufactured and installed. Thompson Electric has submitted a proposed change order for $51,218.47 to fabricate and install the replacement bus duct.

The City Administration is requesting City Council approval to authorize the City Manager to execute a change order to a contract with Thompson Electric Inc for the Eastside Substation Transformer Replacement Project. Staff is requesting a 10% contingency for any materials escalation or issues that may arise during installation.

 Total Contract = $56,339.47 ($51,218.47 -change order + $5,121 -contingency)

Suggested Action

Staff recommends that City Council approve this Resolution authorizing the City Manager to execute a change order to a contract with Thompson Electric Inc. located at 49 Northmoreland Ave, Munroe Falls, Ohio, 44262 for the Eastside Substation Transformer Replacement Project in the amount of $56,339.47.
