Brief Description: Staff wishes to facilitate a brief discussion on the use of the new Community Rooms in the new City Hall. Staff has recommended mirroring the current public space rental use, rules and regulations policy currently in place for the Barlow Community Center space with a few minor changes.

Purpose & Explanation
We expect usage of the new Community Rooms at City Hall to begin in January 2020. Staff is recommending the use of these spaces be the same as for the Barlow Center space, and that the fees reflect the room capacities as closely as possible. A draft fee chart has been attached for review.
Current Barlow Community Center Uses
1. Government organizations and functions.
2. City of Hudson community organizations and functions (HCER, Schools, HOA's, clubs, etc.)
3. City of Hudson businesses (meetings, collaboration, networking etc.)

Staff recommends the following changes be applied to the new City Hall community rooms:

1. No exercise or athletic use permitted.
2. Security deposit of $150 for use/rental of all three community rooms as one open space.

Note: If City Council would choose to allow private events and parties such as birthday celebrations, graduations, weddings, baby showers etc., there would be a need for additional personnel to accommodate such events.
Timing Considerations
Staff anticipates a target of January 2020 to begin renting space.

Suggested Action
Staff recommends City Council support implementation of the new City Hall community rooms usage, rules and regulations. Staff will also bring forth legislation for the proposed rental rate structure as presented.
