Purpose & Explanation
The Public Works Department has been using Cityworks software for several years for its asset and work order management. Community Development subsequently implemented the use of the software for its permitting and case management and will be using this system in coordination with the Engineering Department starting next month. Additionally, the citizen engagement app "Engage Hudson" uses Cityworks to manage work requests submitted by residents. With the extensive use of the software, we exceed the $25,000 threshold for Council approval. We are requesting an extension to the license agreement for 2016/2017.
The use of Cityworks has significantly reduced costs by replacing older, more expensive software and allowed us to consolidate the number of programs we use. Cityworks has also saved on staff time and is more functional than the various legacy systems that we have used in the past.
Azteca Systems is the sole source provider of Cityworks software, so a formal bid process would not be applicable. The total contract is $34,175, and a cost breakdown is attached.
Timing Considerations
Upon authorization to proceed by the City Council, the administration will extend their existing License Agreement with Azteca Systems, Inc. for the above amounts.
