Purpose & Explanation
The Public Works Department has been using Cityworks software for several years for its asset and work order management. Additionally, the citizen engagement app "Engage Hudson" uses Cityworks to manage work requests submitted by residents. Azteca is the provider of the Cityworks product.
The Community Development Department has used this software for 4 years, but is in the process of migrating to another software provider that better suits the city's needs at this time. To facilitate this transition, we will pay for 3 months in order to not interrupt service.
This will exceed the $25,000 threshold for Council approval. We are requesting an extension to the license agreement for 2017/2018.
As Azteca Systems is the sole source provider of Cityworks software, a formal bid process would not be applicable. The total contract is $25,790, and a cost breakdown is attached.
Timing Considerations
Upon authorization to proceed by the City Council, the administration will extend their existing License Agreement with Azteca Systems, LLC for the above amounts. This contract will begin February 1, 2017.
